How to Run a Sweepstakes Using Sweeppea for Ecommerce

What you need before you start

  • An active Sweeppea and Klaviyo account
  • A sweepstakes created in Sweeppea
  • Admin access for both platforms

Before you begin, check Sweepstakes Laws by State to confirm compliance in your region.

Step 1: Connect Sweeppea with Klaviyo

  1. Log in to Sweeppea at app.sweeppea.com.
  2. Click on your profile menu in the top navigation bar and select My Account.
  3. Navigate to App Settings, then select the Integrations tab.
  1. Locate Klaviyo and click Connect.
  1. A dialog will open asking you to enter your Klaviyo credentials. Provide the required information.
  2. Klaviyo will ask for permission to allow Sweeppea to access your Klaviyo account for sweepstakes participant data transfer only. Click Allow.
  1. Follow the steps in the connection wizard and wait for the confirmation screen that says “Connection Successful.”
  1. If the connection does not appear active right away, click Refresh to update the status.

Once connected, the integration remains active automatically every time you log in to Sweeppea.

Step 2: Sync your sweepstakes participants to a Klaviyo list

Each sweepstakes in Sweeppea can be configured individually to connect with a specific list in Klaviyo.

  1. Select your sweepstakes in the Sweeppea App.
  2. Go to Sweeps Settings from the left-hand sidebar menu.
  3. Locate the Default Klaviyo List to Sync Participants section.
  4. Click on the dropdown menu to view your available Klaviyo lists.
  5. Select the desired Klaviyo list where you want participants sent.
  6. Click Start Synchronization to begin sending participants to Klaviyo.

Sweeppea will send participants to Klaviyo in batches at regular intervals. This process runs in the background, so participants will appear in Klaviyo gradually rather than all at once.

To stop syncing: Return to Sweeps Settings and click Stop Synchronization. You’ll see the synchronization status change from “Running” to stopped.

You can repeat these steps for each sweepstakes, keeping lists organized and up to date.

Note: If you don’t see the Klaviyo List Section, your Klaviyo connection is not active. Return to Step 1 to reconnect Klaviyo.

Step 3: View participant data in Klaviyo

Once synchronization begins, check your Klaviyo account to confirm that sweepstakes participant information has been successfully synced.

Sweeppea sends the following participant data fields to Klaviyo:

  • Email or Phone Number (one or the other is provided, depending on what the participant submitted)
  • UserToken (a unique identifier generated by Sweeppea)
  • First Name and Last Name (only if these fields are labeled exactly as “First Name” and “Last Name” in your entry form)

Important note about field names: First Name and Last Name data will only sync if your Sweeppea entry form fields are labeled exactly as “First Name” and “Last Name.” If you use variations like “First” or “Given Name,” these fields won’t transfer to Klaviyo.

AMOE (Alternate Method of Entry) allows participants to enter your sweepstakes without making a purchase. This free entry option is often required by law to keep your promotion legally compliant as a sweepstakes rather than an illegal lottery.

When you configure your Klaviyo sync in Sweeppea, both standard participants and AMOE participants are included in the data transfer. This means everyone who enters your sweepstakes—whether they purchased or used the free entry method—will appear in your designated Klaviyo list.

  • Data persistence in Klaviyo: Even if you delete a sweepstakes or participant data within Sweeppea, the records already synced to Klaviyo will remain in your Klaviyo lists. Deleting data in Sweeppea does not automatically delete it in Klaviyo. This helps preserve records for compliance and historical tracking.
  • Data backups: We strongly recommend exporting participant lists from Sweeppea or maintaining regular backups to ensure you have full control over your data.
